Status: Part-time, Support Staff (20 hours/week)
Schedule: Monday-Thursday (flexible), key ministry events required (Christmas, Easter, Special Sundays, etc.)

Job Purpose and Goals:
The position of Administrative Assistant for Guest Experience and Connections exists for the two-fold purpose of providing administrative support for the daily operations of the Guest Experience & Connections Team of Lincoln Berean Church and to extend the productivity of the team members. This role requires superb customer service, detail orientation, flexibility, and collaboration.
The five key roles for this ‘seat’ are:
- Guest Experience and Connections Administrative Support
- Guest Experience and Connections Touch Point set-up, supply, and maintenance
- Ministry Platform™ Front-end Data Input and Utilization
- Guest Experience and Connections Communication
- Participate, serve, and provide hospitality as a member of the Guest Experience and Connections Team
Key Roles and Responsibilities:
Guest Experience and Connections Administrative Support
- Inventory for material, books, and supplies
- Maintaining organization
- Expense receipt processing, credit card reconciliation, PO’s, expense account, check requests
- Attend and take notes for L10 Meeting, weekly/biweekly 1 on 1 with Supervisor, and other meetings as needed
- Email, phone calls, correspondence
- Printing, Scanning, Editing
- Contribute ideas for overall ministry success
- Calendar management, schedule meetings
- Meeting/Event logistics, room reservations and setup, catering, invites, power points, agenda, meeting materials
Guest Experience and Connections Touch Point set-up, supply, and maintenance
- Collaborate with the Coordinators of Guest Experience & Connections Team to maintain current and accurate supplies in the assigned Touch Points (Info Centers, Publications, Commons Coffee Shop, Coffee Station, Volunteer Closets)
- Maintain the Lost and Found Room (Main Auditorium Lobby)
- Routinely and consistently ‘have an eye for impeccability’ in making sure our public spaces are welcoming and hospitable
Ministry Platform™ Front-end Data Input and Utilization
- Inputting response forms and connection cards after weekend services, Belong gatherings, LBC App response forms after each weekend
- Maintenance of volunteer groups (11 groups with several subgroups). Additions, deletions, contact info corrections
- Generate database queries and reports for Guest Experience & Connections & LBC leadership
Guest Experience and Connections Communication
- Coordinate and execute the mailing of Membership letters including notifying a request to change membership from previous churches
- Coordinate with the Receptionist Team on current events/flyers/resources from previous bulletin board postings
Participate, serve, and provide hospitality as a member of the Guest Experience and Connections Team
- Attend and participate in team and staff meetings
- Provide support for Guest Experience & Connections Team during key ministry seasons (Christmas, Easter, etc.)

Education, Skills and Background
Necessary:
- High School Diploma / Associate Degree
- Has a growing relationship with Jesus Christ
- Highly Organized – A must for events, weekly programming, supplies and resources
- Detail Oriented – Retains details and foresees potential conflicts that may need attention
- Self-Starter – demonstrated capacity to anticipate needs before they arise; demonstrated capability in forming systems of administration
- Flexible – Able to easily switch between routine, weekly tasks and random ones
- Tech Savvy – Experience with basic software (e.g. Microsoft Suite, Zoom, etc.) – comfortable learning how to make updates on the ministry’s webpage and church database system
• Team Player – Passionate to see this team and ministry succeed. Humble enough to take direction and insightful enough to give helpful input - Love to Serve – Jump into any spot as needed. No task is too big and no task is beneath you.
Desired:
- Experience in using eSpace, Ministry Platform, and MailChimp software
- Has the people and technical skills necessary to interact and communicate with superiors, colleagues, coaches, leaders, the body and the public as needed to coordinate and facilitate the ministry and any other assigned task
- Great Smile – Not that you are always smiling – but you are an easy person for people to talk to whether it’s about a late registration (again) or a more serious issue they want to talk about with a pastor
- Proof-reader – English was a good subject for you in school! You can spell check, proof and fix grammar errors in our communication.
