Position Title: Executive Assistant to the Church Leadership Team
Reports to: Church Directional Team
Status: Full-Time, Support Staff (40 hours/week)
Schedule: Monday - Friday, 8:00AM - 5:00PM

Job Purpose and Goals:
This position provides a wide range of administrative support and coordination, project management and leadership for the Church Directional Team and will require strong judgement, skillful prioritization, planning and organization while managing a diverse workload with excellence. It is expected that time and assignments will be appropriately allocated between each of the Church Directional Leaders and will flex depending on their needs and priorities.

We are looking for someone who loves Jesus more than anything, loves people, and who can easily and humbly serve in a Chief-of-Staff type role.

The five Key Roles for this ‘seat’ are:

  • General executive level administrative support
  • Meeting coordination, preparation and follow-through
  • Project management, planning and research
  • Program coordination
  • Relationship management

Key Roles and Responsibilities:

General executive level administrative support

  • Manage, route and respond to emails, phone calls and executive correspondence
  • Manage documentation, contracts, reports, and presentations
  • Proactive calendar management, travel logistics including international travel
  • High level budget expertise including forecasting and report preparation
  • Expense receipt processing, credit card reconciliation, PO’s, reports, Comdata, check requests
  • Materials, books and supplies for Church Directional Team and Church Management Team
  • Database expertise in Microsoft Suite, Teams, Ministry Platform

Meeting coordination, preparation and follow-through 

  • Provide complete support for the Church Directional Team, the Church Management Team, All-Staff and other key meetings including scheduling meetings, event logistics, room reservations and set-up, catering, invites, agendas, meeting materials, note-taking and follow-up on issues
  • Utilize LBC’s operating system program to document metrics, meeting issues and progress
  • Proactively manage any follow-up tasks to ‘close the loop’ 

 

Project Management, Planning and Research

  • Research specific issues and prepare executive summaries
  • Establishes project milestones and timelines, maintains knowledge of current project status, allocates and manages resources, meets with users regularly to discuss project status and details, and provide regular updates
  • Research and compile data to assess the effectiveness of LBC
  • Utilize reporting, dashboards, and metrics to measure effectiveness of the projects and strategies
  • Connect with other churches to learn best practices
  • Provide coordination and support for key HR activities including One-on-One meetings, Quarterly and Annual Reviews
  • Create financial forecasting for identified projects


Program Coordination and Management

  • Coordination of Seminary and students
  • Team Teaching Coordination; track preaching load, strategy, outcomes in LBC’s varied teaching environments
  • Conduct Teaching Assessment by managing post-weekend feedback gathering
  • Residency and Discipleship Coordination


Relationship Management

  • Establish effective partnerships internally and externally
  • Serve as a key conduit in identifying and creating internal communications
  • Consultant / vendor management

Education and Experience:

  • Minimum of three years of progressive administrative, planning, and/or coordinator function experience working with senior leaders
  • Bachelors’ degree in related field or equivalent combination of education and experience required
  • Proven experience in creating processes and systems to operate at high level
  • Project management experience a plus
